Maintenance Procedures

The college management has it as a mission to inculcate discipline with good conduct, character and integrity in every student. It is the earnest desire of the management that the parents and students should extend their full cooperation to fulfill this mission. Severe action will be taken against students found causing damage to college property.


1.Safety measures
  • Students will be permitted to work in the laboratories only in the presence of Faculty and Lab technicians.
  • Students will not be permitted to enter the laboratories without lab coat.
  • Any emergency should be brought to the notice of Lab technician/Faculty immediately.
  • First aid kit shall be made available in all the laboratories.
  • Absence of Gas / Fuel leakage before commencement of classes shall be ensured.
  • Burners should be turned off immediately after the completion of the work.
  • Periodical checking of the working condition of the gas pipelines, fire-fighting instruments, etc., must be carried out by the lab Assistants and reported to the authorities concerned for further action.
  • Highly reactive acids and chemicals should be stored safely and its usage should be monitored by the lab assistant and faculty in-charge.
  • The faculty shall be responsible for the proper and safe disposal of the waste from the laboratories.
2. Purchase
  • Recurring and Non - recurring requirements shall be finalized and the purchase shall be carried out as per the laid down purchase policy.
3. Stock Maintenance
  • The stock registers should be updated periodically and should be available in the departments
  • The registers should be readily available for verification at any time.
4. Working Hours
  • The laboratories will be open on all working days.
  • Prior permission must be obtained from the head of the institution to utilize the laboratory beyond working hours and on holidays.
  • Students/ scholars from other institutions may be permitted to utilize the laboratory after obtaining prior permission from management.

  • All staff and students of the college will be the members of the library.
  • Open Access System will be followed in the college library.
  • The college identity card with barcodes will be used as library card.
  • PG and Research Departments shall be permitted to maintain a separate department library.
  • Alumni, students/ researchers from other institutions may be permitted to use the library with prior permission from the head of the institution only for reference purposes.
  • Other facilities for the users may be created as and when the requirement arises.

2.Issue & Return
  • Identity Card is required for borrowing or returning books.
  • The no. of books issued to the students/faculty will be based on their requirements and requisitions and may be altered periodically by the library committee.

    3. Scholars – 5
    4. PG Students – 4
    5. UG - 3
  • The borrowed books should be returned after the stipulated time as being decided by the library committee, failing which a fine will be collected.
  • Lost or damaged borrowed books should be replaced.
  • Non-book materials can be borrowed only by the faculty.
3.Book Bank
  • Hayagreeva Book Bank was established with a collection of recommended text-books for the noble cause of supporting economically challenged students.
  • Text Books borrowed from the book-bank may be retained throughout the semester.
  • In addition, the students shall be permitted to borrow the books for reference through regular circulation.

5.Working Hours
  • The library shall remain open from 9.00 a.m. to 5.30 p.m. on all working days and from 10.00 a.m. to 4.00 p.m. during examination and semester holidays.
E – resource Centre
  • E-resource center shall cater to all the users and shall be updated periodically.
  • The library subscribes to INFLIBNET, DELNET, Bookshare.
  • Question Bank for all courses are made available in the centre.
  • Users shall be permitted to access the e – resource centre between 9.00 am and 8.30 pm on all days.

Sports is an important component of overall personality enhancement and social development that needs to be nurtured. All students shall be encouraged to participate in sports activities as we firmly believe in its benefits. The college will prioritize sports and make available necessary funds and infrastructure. An appropriate balance shall be maintained between sport/other extra- curricular activities and academics.

1.Patronage to sportsmen
  • The college shall provide appropriate scholarships to talented sportsmen which will be reviewed and modified periodically.
  • Students representing the college team shall be provided with TA/DA, Registration Fee and uniforms.

  • The Physical Director should ensure that the sports equipments are maintained in working condition.
  • The stock registers should be updated periodically and should be available with the Physical Director.
  • The registers should be readily available for verification at any time.
4. Utilization of sports facilities (outdoor/indoor)
  • The play ground will be open on all working days.
  • The entry and exit of the students shall be recorded in a movement register.
  • Prior permission must be obtained from the head of the institution to utilize the sports facilities (outdoor/indoor) beyond working hours and on holidays.
  • Students may be permitted to utilize the sports facilities (outdoor/indoor) beyond working hours and on holidays under the supervision of the physical director.
  • Other organizations/sports clubs may conduct sports events (outdoor/indoor) in the college after obtaining prior permission from the management.

  • The faculty and students of the College shall be encouraged to make innovative and creative use of information technologies in support of education and research. Computer Centre staff shall provide assistance in using College computing facilities for the staff and students.
  • The network of the college is highly secured. The campus being Wifi enabled, the college may restrict, reserve the right to limit access to its computers and network systems.
  • A centralized printing facility shall be made available in the campus.

  • Students shall be permitted to work in the computer centre only in the presence of faculty and system administrator.
  • The computer centre shall be open on all working days.
  • Prior permission must be obtained from the head of the institution to utilize the computer centre beyond working hours and on holidays.
  • Students/scholars from other institutions may be permitted to utilize the computer centre after obtaining prior permission from management.
4. Service and streamlining
  • Any user who attempts to disable, defeat or circumvent any College security facility will be subject to disciplinary action.
  • Fault of any kind should be reported to the system administrator immediately.
  • The computers in the college must be serviced and updated periodically.
  • The bandwidth of the internet connection may be upgraded according to the requirements.
5.Abuse of Computer Resources
  • Using the network for personal profit
  • Attempting to intentionally interfere with the performance of the network
  • Interfering with the legitimate work of other users
  • Accessing another individual's account, private files, or e-mail without permission of the owner
  • Misrepresenting one's identity in electronic communication
  • Disobeying lab and system policies, procedures, and protocol
  • -Misuse as listed above and/or any other damage caused to Information Technology facilities will lead to severe action.

Allocation
  • Steps will be taken to ensure allocation of class rooms for all the programs offered in the college. Smart Classrooms is a comprehensive strategy for digital education as it is student-centric; recognizing the demand for seamless learning. Smart Classrooms provides direction for harnessing ICT now and into the future.
  • The entire faculty shall be provided hands-on training to use ICT tools.
  • All the departments shall earmark one of their classrooms to be utilized as smart room.
  • The HODs shall ensure that all the students reap the benefits of smart classroom.
Maintenance
  • The classrooms must be kept neat and tidy.
  • The staff and students shall be held responsible for the cleanliness and safety of the classroom property.
  • In case of any damage to furniture/switchboards/windowpanes etc… a fine shall be imposed.

Cafeteria

We would like all our students to enjoy their breakfast/lunch/snacks/tea/coffee in our cafeteria.  Non - Vegetarian food items will not be allowed in the campus. Cafeteria will be open to the students only during breaks.

  1. Enter and exit the cafeteria in a polite manner.
  2. Keep hands, feet, and objects to yourself.
  3. Use an indoor voice at all times. 
  4. Only vegetarian food items will be available in the cafeteria
  5. Tokens shall be purchased at the counter.
  6. Only self - service shall be provided
  7. Clean area of all papers, food, and trash before leaving.
  8. Treat the service staff and others with courtesy.
  9. Do not waste food/water.
  10. The Cafeteria shall revise its price list when necessary.
Reprography
AVAILABILITY OF THE SERVICES
  1. The Reprography Section provides services based on request for typesetting, photocopying, printing, binding, lamination etc...
  2. Necessary stationery items shall be made available in the section.
  3. Confidentiality of work undertaken is guaranteed when necessary
  4. During peak periods, the Reprography Section reserves the right to establish schedules and priorities in consultation with users when necessary.
  5. The Reprography Section will revise its price list when necessary.
College Bus Services

The management provides bus facility free of cost within a radius of 50 kms to enable rural students who cannot avail bus facility reach the college for their academic pursuit. The bus routes are framed to connect rural areas to the college. It is important that a place on the bus is not to be taken for granted by students. There are a limited number of designated bus stops to maintain safety and travel time efficiency.

GUIDELINES FOR STUDENT USE OF COLLEGE BUS
  1. The students shall behave properly to the bus driver and to all the fellow travellers.
  2. Noise levels are to be kept to a minimum for safety reasons/driver concentration.
  3. Use of mobile phones, iPods and other such items during their travel in the College bus is prohibited and shall be confiscated when found using them.
  4. The College accepts no responsibility for lost, stolen or damaged mobile phones either at College, or while travelling in the College bus.
  5. Students travelling by the college bus will be issued bus pass, without which they cannot board the bus.
  6. Students should board and alight the bus at the stops notified to them in the allotted bus routes.
  7. Students found damaging the seats; windows etc… will be penalized.
RULES AND REGULATIONS FOR HOSTEL

Application for admission to hostel shall be made in the prescribed form which can be had from the college. The rules and regulations of the hostel are complementary to that of the college. There are two well furnished hostels run by the management, one for men near the campus and the other for women within the campus. Inmates of the hostels should strictly abide by the rules and regulations of the hostels. A declaration should be signed at the time of admission.

  • A local guardian must be nominated by the parents at the time of admission.
  • No student is permitted to leave the hostel without the consent of parents and without permission from the Warden.
  • Girl students will be permitted to leave the hostel only with their parent/guardian.
  • A refundable caution deposit shall be collected from the students at the time of admission.
  • Priority in allocating hostel accommodation will be given to the students coming from far off places.
  • The management reserves its right to change these rules from time to time keeping the students informed through general circulars displayed on the hostel notice boards.
  • The Principal shall regulate the hostel admission assisted by the respective deputy wardens and to enforce general discipline in the hostels.
  • Any inmate may be dismissed without assigning reason, if they indulge in any gross misbehavior and admission may be refused to any student involved in any indisciplinary deeds
Room Allotment
  1. Allotment of rooms shall be made by the Deputy Wardens under the orders of Warden.
  2. Students must occupy the rooms allotted to them and should not change/exchange rooms without prior permission from the Warden. Violations of this rule will result in the expulsion of the student concerned from the hostel.
Utilization and Maintenance of Hostel Property
  1. Rooms shall be kept neat and tidy.
  2. Hostel Furniture shall not be removed from one room to another under any circumstances. Students are responsible for the care of furniture and fittings in their respective rooms. The cost of furniture and fittings will be recovered from them in case of any damage or loss along with a fine.
  3. Students shall use essential electrical appliances like laptop, iron box etc… in their rooms with prior permission.
Code of Conduct
  • Students shall use the hostel phone when it is very essential to contact their parent/guardian with the permission of the warden.
  • The incoming calls will be intimated to the inmates only if the Warden is convinced of the identity of the person calling.
  • Students must present themselves to the Warden during the Roll call.
  • The study hours will be from 05.30 P.M. to 07.00 P.M. During study hours visiting other rooms is prohibited.
  • Students shall be permitted to attend special courses/part-time job after obtaining consent from the parents.
  • Students shall submit proof of employment/course enrollment to the warden.
  • Student should not bring valuable items like cash, mobile phones, camera, electronic gadgets, jewellery etc… to the hostel.
  • The management shall not take responsibility for the loss or theft of such valuables and such complaints will not be entertained.
  • In case of any medical emergency beyond the college working hours the students shall visit the nearby hospital along with the warden.
Mess Timings
  • The students shall strictly adhere to the mess timings.
  • The system of self service shall be followed in the mess.
Mess Bill/Reduction
  • The mess fees will be charged with a fixed system and shall be paid on or before 7th of every month.
  • If the leave of absence is less than five working days, no reduction in mess charges can be availed.
  • Mess reduction is admissible to the residents only if they were away from the hostel continuously for five days or more. The permission for leave should be forwarded by the HOD.
  • To avail the benefit of reduction the inmate should to give a written request to the warden on returning to the hostel.
VISITORS
  • Visitors are not permitted to enter any rooms allotted to the residents. Anyone who violates/ helps to violate this rule will be evicted from the hostel.
  • Authorised visitors will be permitted only on Sundays and other holidays between 7.00 A.M. and 05.00 P.M.
Health Care Centre

The college has a Health Care centre which provides free medical facility to the students, teachers and the non-teaching staff. The management has appointed full time doctor and nurse, to assist the doctor.

Facilities
  • The main objective of health care centre is to provide an immediate and effective medical aid.
  • Necessary amenities required for health care centre are available which includes wheel chair and stretcher.
  • Students and staff visiting the health care centre shall be provided with a medical card for future use.
  • Health care centre also acts as a referral unit where any case which cannot be handled in the centre is referred to the nearest hospital.
